Server logs
When you access our webservers or email servers some information, such as which site referred you to our website and your current IP address, may be automatically collected as part of the operation of the server. We may use this information to facilitate operation of the server.

Cookies
We provide certain websites for the exclusive use of our clients and some of these websites use cookies, which are small text files downloaded onto a computer, if a specific feature of the website requires them. However, our public websites (such as this one) do not use cookies.

How we use your personal data
If you are a customer then we (First-Web Network Services Ltd) will use your non-sensitive personal data for the performance of hosting contracts which you have requested and in the initial steps of entering into that contract. The personal data we use is provided directly to us by you, and is needed for communication of invoices, for personalising facilities such as naming of emailboxes, for providing speedy technical and administrative support, and to enable us to register and/or administer domain names for you. If we provide services to your business we may hold some or all of: your name, job title, work address, work email, work phone, mobile phone. If we provide services to you as an individual we may hold some or all of: your name, home address, home email, home phone, mobile phone. We may share your personal data with our appointed accountants and other professional advisers where necessary. We register domain names ending in '.uk' through Nominet in the UK for which purpose we may share your personal data with Nominet. We register other domain names through OpenSRS in Toronto, Canada for which purpose we may share your name, your organisation's name if applicable, email address and country of residence with OpenSRS in Canada.

If you supply us with services or goods then we will use your non-sensitive personal data for the performance of contracts which we have requested and in the initial steps of entering into that contract. We may hold some or all of: your name, job title, work address, work email, work phone, mobile phone.

If you contact us other than as a customer or supplier it is possible we may retain details which could include personal data, on the basis that it is in our legitimate interests to do so, for up to one year or until you ask us to remove any personal data you gave us. This allows us, for example, to respond to unsolicited enquiries.

The law gives you rights in relation to your personal data. You can request a copy of the personal data we hold relating to you and request the correction of errors. You can raise questions or complaints with us or directly with a supervisory authority such as the Information Commissioner's Office (ICO) if you think there is a problem with the way we are handling your personal data.

Please note that in some circumstances our server logs could also be considered to contain personal data if they could be combined with other data held by, for example, your broadband provider.

The maximum period we will retain personal data is the standard retention period set by HMRC which is "6 years after the last entry in a record followed by first review and/or destruction to be carried out in the additional current (+1) accounting year".
